How to build a content calendar for social media

Plan a sustainable, themed content calendar that keeps your social presence consistent without daily improvisation.

Time: 1 hour (initial setup), 30 minutes weekly thereafterDifficulty: Beginner

A content calendar moves you from reactive daily posting (stressful, inconsistent) to proactive themed publishing (efficient, on-brand). This guide builds a sustainable monthly calendar using Webanto Social Media Management.

Prerequisites

  • • A Webanto Social Media Management subscription
  • • A clear sense of your brand's content pillars

Steps

  1. 1
    Define 3-5 content pillars

Pillars are themes you publish about repeatedly. For a marketing platform: product updates, customer stories, industry commentary, educational tips, behind-the-scenes. Each pillar should map to a business outcome.

  2. 2
    Assign each weekday a pillar

Map pillars to days: Monday — educational tip; Tuesday — product feature; Wednesday — customer story; Thursday — industry commentary; Friday — behind-the-scenes. This removes the 'what should I post today?' decision.

  3. 3
    Decide posting frequency per platform

Different platforms reward different cadences. Instagram and TikTok: 3-5 per week. LinkedIn: 3-5 per week (text-led). X: 1-3 per day. Pinterest: 1-3 per day (visual). Set your team's realistic capacity.

  4. 4
Batch-draft a month of posts at once

Sit down once a month and draft 4-12 posts per pillar. This produces 20-60 drafts in a 2-3 hour session — far more efficient than drafting daily.

  5. 5
Schedule the drafts into the calendar

Open Webanto > Social > Calendar. Place each draft on its themed day at your scheduled posting time. The calendar fills out visually so gaps are easy to spot.

  6. 6
Reserve 20% of slots for reactive content

Don't fill every slot in advance. Leave 20 percent open for timely content — news commentary, customer responses, viral moments. The calendar is a backbone, not a cage.

  7. 7
    Review weekly

Every Monday, spend 30 minutes reviewing the upcoming week's calendar. Adjust for current events, drop scheduled posts that no longer fit, fill any gaps with reactive content from the past week.

  8. 8
    Monthly retrospective

At month-end, review per-pillar performance. Which pillars drove the most engagement? Which underperformed? Reweight your pillar mix for the next month based on results.
